If you record stock by hand with Adjust Stock and the vendor's bill or your sales invoice comes later, link the two. A linked invoice doesn't move the stock the adjustment already moved, so your count stays right, and the item's history shows which invoice the stock belongs to.
Link invoices to an adjustment
Go to Sales → Inventory and click the item.
Under Stock Movement, find the adjustment and click Link purchase invoices for a stock in, or Link sales invoices for a stock out.
Search for the invoice by its number, the vendor or client, or the amount, and pick it.
Only invoices with a line for this item that aren't linked to its stock yet are listed.
If part of the quantity is still unlinked, pick the next invoice. Once everything is covered, the sheet shows All linked.
Click Done.
Each invoice links as many of the item as it lists. For example, a stock in of 10 linked to a bill listing 4 leaves 6 to link. The bar at the top of the sheet shows how many are linked so far.
No invoice yet?
Click the Create purchase invoice or Create sales invoice button in the sheet. It names the quantity still to link, for example Create purchase invoice for 6 Pcs. A new invoice opens with the item and that quantity on its first line. Add the vendor or client, save it, and it's linked.
Change or remove a link
Once every unit of an adjustment is linked, the entry shows Manage linked invoices instead. Open it and click the unlink icon next to an invoice to take it off. The stock doesn't change: that quantity simply goes back to being unlinked, ready for another invoice.
What linking changes
- When a linked invoice is issued, it moves only the quantity the adjustment didn't already cover.
- For a serial item's stock out, the units the adjustment took become the sales invoice's units and show as Sold on that invoice. Unlinking hands them back to the adjustment.
Tips
- You can link an invoice, or create one, while recording the adjustment. See Adjusting stock.
- Invoices that have already moved this item's stock on their own aren't offered, because that stock is already counted.
