A cost centre is a department or function, such as Operations or Marketing, that you want to report on, much like a cost centre in Tally. A cost centre picks up amounts through its projects. You link projects to it, and the sales invoices raised on those projects count towards it.
Create a cost centre
- Go to Accounting → Cost Centres.
- Click New cost centre.
- You can also click the + next to Cost Centres in the sidebar.
- Enter the Name and Code, for example Operations and CC-001.
- Both are required, and each must be unique within your company.
- Optionally choose a Parent to place this centre under another one.
- Only top-level cost centres can be parents, so the hierarchy goes two levels deep. Leave it at None — top level for a main centre.
- Choose the Type.
- Direct is for job or project cost. Indirect is for overheads you may allocate later.
- Leave Status at Active.
- Under Linked Projects, tick each project that belongs to this cost centre.
- Search with Search projects..., or click New project to create one without leaving the form. The line under each project shows which cost centre it currently belongs to.
- Click Create cost centre.
How linking works
Each project has one default cost centre. Ticking a project here makes this centre its default and moves it away from any other centre. Unticking it later leaves the project with no cost centre. You can also set it from the project itself, using the Default Cost Centre field on the project form.
The YTD Tagged column on the register adds up this financial year's sales invoices, excluding drafts, raised on the centre's linked projects. The YTD Tagged card at the top shows the total across all centres.
Manage your cost centres
- The Projects column shows how many active projects are linked. Click the number to see the full list, closed projects included, and open any of them.
- Use the All, Direct, Indirect and Inactive chips to filter the register.
- From the actions menu on a row, click Edit to change a centre (then Save changes), Set as Inactive or Set as Active to change its status, or Delete to remove it.
- Click Export to download the register as a CSV file.
Tips
- Deleting a cost centre moves its sub cost centres to the top level and clears it as the default on its linked projects. The projects themselves aren't changed.
- A deleted cost centre can be restored from Settings → Deleted Items, on the Resources tab.
