The General Ledger shows the full history of one account for a period: the opening balance, every debit and credit in date order, the running balance after each entry, and the closing balance. Use it to check how an account reached its balance.
Open an account's ledger
- Click Reports in the sidebar.
- Choose Financial, then General Ledger.
- Click Select Account and type to search your chart of accounts.
- Click the account, then click anywhere outside the list.
The ledger loads for This Financial Year. To change the period, click the date picker and choose another one, or Custom Date to set your own and click Apply. The report shows one account at a time.
Read the ledger
The cards at the top show the Opening Balance (with the account name), the number of Transactions, the Net Movement (closing minus opening) and the Closing Balance. Point at a card's amount to see it in words.
The table starts with an Opening Balance row and ends with a Closing Balance row. In between, each entry shows:
- Date and Doc No.
- Description — the narration.
- Debit, Credit and Running Balance.
- Updated By and Updated At — the user who posted the entry, and when it was last updated.
The opening balance includes the opening balances you entered and everything posted before the start date. Use the pager under the table to move between pages or change how many rows a page shows.
Open the document behind an entry
Click a number in Doc No. to open the sales invoice, purchase invoice, credit note, debit note or journal entry in a new tab.
If the number isn't a link, the document can't be opened. Point at it to see why: it may be in Deleted Items, it may have been deleted permanently, or the entry wasn't posted from a document.
Search and columns
- Type in Search vouchers, narration... to narrow the entries. The running balance is worked out over the whole period, so it stays correct, and the opening and closing balances don't change.
- Click the columns icon (Manage columns) to hide columns such as Updated By. Reset brings them all back.
Export the ledger
- Click the export icon. It appears once the ledger has entries.
- Choose Download as CSV or Export As PDF.
The file holds the opening balance, every matching entry (not just the page on screen) and the closing balance.
