Accounting Module Overview
The Accounting module in SmartLedger.AI provides a centralized workspace to manage your organization's financial records, maintain an accurate Chart of Accounts, record journal entries, configure opening balances, and track fixed assets. It helps businesses maintain organized books, ensure accurate financial reporting, and establish a strong foundation for all accounting transactions.
The module consists of four key sections:
Chart of Accounts
The Chart of Accounts (COA) is the master list of all financial accounts used by your organization. It serves as the backbone of your accounting system by categorizing every financial transaction into appropriate accounts.
Key capabilities include:
• View all accounts in a centralized list.
• Organize accounts into Assets, Liabilities, Equity, Income, and Expenses.
• View account codes, descriptions, account types, balance types, and parent accounts.
• Filter accounts by category for quick navigation.
• Search accounts instantly using the search bar.
• Create new accounts using the New Account button.
• Track transaction counts associated with each account.
• This ensures a well-structured accounting framework and improves financial reporting accuracy.
Journals
The Journals section is used to organize accounting entries into different journals based on transaction types.
Features include:
- Create multiple journals for different accounting purposes.
- View journal descriptions and status.
- Enable or disable journals as required.
- Access journal entries directly from each journal.
- Create new journals or add journal entries using dedicated action buttons.
Journals help maintain organized bookkeeping while making transaction tracking and auditing easier.
Opening Balances
The Opening Balances page allows businesses to initialize their books at the beginning of a financial year or while migrating from another accounting system.
Key features:
• Set opening balances for all account categories:
• Assets
• Liabilities
• Equity
• Income
• Expenses
• Expand each category to enter account-wise balances.
• Automatically calculate debit and credit totals.
• Display opening balance adjustments when totals differ.
• Ensure the books remain balanced before accounting operations begin.
This simplifies financial migration and ensures accurate starting balances.
Assets
The Assets section helps businesses maintain and monitor fixed assets throughout their lifecycle.
Capabilities include:
• Add and manage fixed assets.
• Record purchase cost, purchase date, salvage value, depreciation rate, and current value.
- Track depreciation using supported depreciation methods.
• Filter assets by department, user, status, and depreciation method.
• Search assets quickly.
• View summary metrics such as:
• Total Number of Assets
• Assets Added This Financial Year
• Total Asset Value
• Asset Depreciated Value
• Receive AI Insights highlighting:
• Inactive assets
• Financial performance observations
