Edit a client to fix their contact details, change how GST applies to them, or add a GSTIN you didn't have when you created them. The edit screen is the same form you used to create the client.
Open the client for editing
- Go to Sales → Clients.
- Open the actions menu at the end of the client's row and choose Edit.
You can also open the client, click the link icon next to their name, and click Edit Client Details.
Update the details
- Under Client details, change the Client Name, Client Code, Email or Phone.
- Under GST treatment, pick the option that matches how the client is registered.
- Under Registration, enter or correct the GSTIN and click Verify.
- Under Tax and place of supply, check We bill this client for (Services or Goods) and the Place of Supply.
- Update the Address. Turn off Delivery address is the same as billing to keep a separate delivery address.
- Under More details, update the contact people, Payment Terms, Credit Limit and Internal notes.
- Click Save Changes.
The Email under Client details is the client's own address. Credit note acknowledgement requests go to it. Contact people are kept separately, and the one marked primary is who invoices and reminders go to.
Verify the GSTIN
Verify looks the GSTIN up on the GST portal. When it matches, the field shows Verified and SmartLedger fills Legal Name and Trade Name from the portal. It also fills the PAN, the client name and the billing address, but only where those fields are empty, so nothing you typed is overwritten.
If the portal doesn't answer, you'll see a message asking you to save the GSTIN as entered and verify later. If the GSTIN can't be verified, check it for typos. You can still save it as entered.
Place of supply
The place of supply follows the client's details unless you change it. For services it follows the GSTIN's state, then the billing address. For goods it follows the delivery address, then the billing address. A note under the field says which one it's following.
If you pick a state yourself, the note reads Picked by hand. Click Follow it again to go back. A second note tells you whether invoices will carry CGST + SGST or IGST.
Make a client inactive
Turn off Active under Client details. Inactive clients stay in reports and history but are hidden from new documents.
Tips
- Missing details such as a GSTIN or an address don't stop you saving. Only a value in the wrong format does, for example a GSTIN that isn't 15 characters in the right pattern. The GST readiness panel on the right lists what's still missing.
- Invoices you've already raised keep the GST treatment they were issued under. A change applies to new documents.
- A Tax Deductor registered with a TAN-based GSTIN can't be verified on the portal. Save it as entered.
