You can correct a journal entry after saving it, change its status, or delete it. When a posted entry stops standing, SmartLedger posts a reversal rather than erasing its lines, so the ledger keeps a full history of what happened.
Find the entry
- Go to Accounting → Journals.
- Click the journal the entry is filed in, or click View in its Entries column.
- Find the entry. Filter by Projects, Created By or Status, or pick a date range.
Click an entry's row to open it read-only in View Journal Entry.
Edit an entry
- Open the actions menu at the end of the entry's row and click Edit.
- Change the lines, date, journal, notes or status.
- Click Update Journal Entry.
A posted entry must still balance, with debits equal to credits, before the change is saved. Its ledger lines are updated to match.
Change the status
- Open the actions menu on the entry's row and point to Update Status.
- Choose Posted, Draft, Pending or Cancelled.
- Confirm in the Confirm Status Update dialog.
Posted, Pending and Cancelled can't be chosen while an entry's debits and credits differ. Fix the lines first, or move the entry to Draft.
Moving a posted entry to Draft, Pending or Cancelled reverses its ledger lines. The original lines and their reversal both stay on the ledger. Posting the entry again puts its lines back on your books.
To change several entries at once, tick them and choose a status from Update status in the bar that appears. Entries that don't balance are skipped, and the dialog lists them before you confirm.
Delete an entry
- Open the actions menu on the entry's row and click Delete.
- Click Delete to confirm.
To delete several entries, tick them and click Delete selected.
Deleting a posted entry doesn't remove it from your ledger. SmartLedger posts a reversal for each line, so the account ledgers show the original and the reversal side by side.
A deleted entry can be restored from Settings → Deleted Items, on the Documents tab. It comes back as a draft, so you decide when to post it again.
Tips
- A journal that has entries can't be deleted. Move or delete its entries first.
- The General journal is part of every company's setup and shows a lock icon.
