The Day Book lists every voucher posted to your books in a period: sales and purchase invoices, payments and receipts, journal entries, and credit and debit notes. Use it to review the day's or month's work in one place and to correct anything that looks wrong.
Open the Day Book
- Go to Accounting → Day Book.
- Choose a period in the date filter. It opens on This Financial Year.
- Optionally narrow the list with the Account and Type filters.
- Type offers Sales, Purchase, Payment / Receipt, Journal, Credit Note and Debit Note.
- To find a specific voucher, type in Search voucher no., type, amount, account or narration.
The cards above the list follow your filters:
- Vouchers in Period — the number of vouchers, with the ledger lines and days they cover.
- Total Debits and Total Credits — live entries only. Reversals aren't counted.
- Reversed Entries — entries that were undone and kept as history.
Read a voucher
Each row shows the Date, Doc. No., Type, Client / Vendor, Status, Debit (₹) and Credit (₹).
- Click the arrow beside the date to show the voucher's ledger lines right in the list.
- Click the row to open the voucher in a side panel. It lists each account with its debit, credit and narration, and shows whether the voucher is posted or reversed.
From the side panel, or from the actions menu at the end of the row, you can open the document, edit it or delete it. The menu also has View entries.
Edit or delete vouchers
- Tick the vouchers you want to work on. A bar appears above the list.
- Click Edit voucher to open the voucher's own edit screen, or Delete selected to delete them.
- Edit voucher works on one voucher at a time.
- Confirm the deletion.
Deleting a voucher reverses every ledger line it posted. The lines stay on the ledger as history, marked as reversed. When you delete a payment, SmartLedger also asks why, because a reversal has to be accounted for. If some of the vouchers you selected can't be deleted, they are left as they are, and the dialog tells you how many.
Tips
- Click Clear in the selection bar to untick everything.
- Use the export button to download the list as CSV or PDF.
- What you can edit or delete here depends on your role's permissions for that kind of document.
