You can change a saved payment or receipt from the Payments register, or reverse it if it shouldn't have been recorded. SmartLedger never erases a payment's ledger lines. It posts reversing lines, so your books show what was changed and why.
Edit a payment
Go to Accounting → Payments.
Click the payment to open it, then click Edit payment.
You can also open the actions menu at the end of the row and click Edit.
Change what you need: the amount, date, account, mode, reference, notes or the split across bills or invoices.
If you changed the Amount or the Paid From or Received In account, choose a Reason for the change.
If none of the listed reasons fits, choose Other and describe it in What changed?.
Click Save changes.
Saving reverses the payment's ledger lines and posts them again with your changes. The reason you chose is recorded in the audit trail and on the reversal lines. To see the entries, click View journal on the edit form.
What you can't change
- Record as — a payment made can't become a receipt, or the other way round.
- Vendor or Client — a payment can't move to a different party.
- Payment No or Receipt No — a number is permanent.
To change any of these, reverse the payment and record a new one.
Reverse a payment
- Go to Accounting → Payments.
- Open the actions menu on the payment's row and click Delete.
- Click Delete to confirm.
Reversing posts an opposite line for every ledger line the payment wrote. Each bill or invoice it settled gets its balance back, and any amount it held as an advance is reversed too. The payment then leaves the register, and its number is never reused.
You can also delete a payment from Accounting → Day Book. There, SmartLedger asks you for a reason before reversing it.
Tips
- Linking an advance to a bill or invoice doesn't need an edit. Open the payment and use Apply this payment or Apply this receipt.
- Changes to the split, date, mode, reference or notes don't need a reason. SmartLedger notes on the reversal lines what was changed.
