Settings → Data Management lets you take a backup of this company's data, or delete the company for good. Export a backup before you delete anything.
Before you start
- The Company Owner and Admins can export. Only the Company Owner can delete the company.
- If you can do neither, Data Management doesn't appear in your Settings menu.
Export a backup
Go to Settings → Data Management. If you see two tabs, open Export.
Tick the modules you want. Each one shows its Records count and when it was Last updated.
Use Select all or Clear, or type in Filter modules... to find one. To export a single module, click the download icon on its row instead.
Click Export followed by the number of modules you picked.
Under Send download link to, tick the owners and admins who should get the archive.
Click Continue to verification.
You see Export started. The archive is built in the background as a signed .zip file of CSV files, one folder per module. Each person you picked gets an email with their own download link, valid for 72 hours.
Download a recent export
Recent exports, below the module list, shows each archive with its modules, when its link expires, and its status.
- Wait until the export is ready.
- Click Open to download it.
You can't open an export that is still being prepared, has failed or has expired. For an expired one, create a new export.
Delete the company
Deleting removes the company's invoices, journals, parties, GST filings, SmartUploads history and everyone's access to it. It can't be undone.
Open the Delete company tab.
If you haven't taken a backup, click Export a backup first.
Click Delete this company.
Click I understand — continue.
Type the company's legal name exactly as shown and click Confirm name.
Under Final verification, choose how to confirm it's you:
Password — enter your account password. Email code — click Email me a code and enter the 6-digit code sent to you.
Click Verify & delete.
Once it's done, nobody can open the company again, and no more emails or notifications are sent for it. SmartLedger then opens one of your other companies.
Tips
- You can't delete the only company on your account. Create another company first, or contact support to close your account.
- Download links stop working after 72 hours, so save the archive somewhere safe.
