Bank Accounts lists every bank account your company uses. Adding an account lets you import its statements, reconcile it and print its details on your invoices and quotes.
You don't have to add an account before importing a statement. When you confirm a statement for an account SmartLedger doesn't know yet, the account is created for you. Add it by hand when you want it set up first, for example to print it on invoices straight away.
Add the account
Go to Banking → Bank Accounts.
Click Add account. The Add Bank Account panel opens.
Enter the Bank Name and the full Account Number.
Enter the whole number, not a masked one such as XXXXXX0775. SmartLedger keeps the full number so statements attach to the right account, and shows it masked (••0775) everywhere else.
Optionally fill in Nickname, IFSC Code, Account Type (Current, Savings or Overdraft) and Branch Name.
Tick Primary account if this is the account to print on invoices and quotes.
Leave Add to Chart of Accounts ticked to create a bank ledger for this account in your chart of accounts.
Click Add Bank.
There is no balance field. The bank balance and the transactions come in when you import and approve a statement.
Fields to check
- Account Number — spaces and dashes are removed. With an IFSC, it must be 9 to 18 characters. You can't add a number that's already on another account.
- IFSC Code — four letters, a zero, then six letters or digits, for example HDFC0001234.
- Primary account — only one account can be primary. Ticking it here replaces the current primary account.
Edit, archive or restore an account
- Click an account's row to open its details: the bank balance from the latest statement, the account details, and how many statements and lines it has.
- Click the pencil icon on the row to edit it. When editing you can also choose the Bank ledger its lines post to, and remove a saved statement password with Forget it.
- Click the archive icon and then Archive to hide an account from reconciliation. Its transactions and reconciliation history are kept, and you can bring it back with the restore icon.
- The primary account can't be archived. Edit another account, tick Primary account, then archive the old one.
Tips
- Use the Status and Bank filters, or search by bank, account number, IFSC or branch. The toggle next to the search switches between a list and cards.
- The upload icon on a row imports a statement straight into that account.
- Reconcile on a row opens Bank Reconciliation for just that account. It reads Up to date once every line is in your books.
- Bank Accounts is open on every plan. Reconciling needs a plan that includes Bank Reconciliation.
