SmartUploads reads your documents so you don't have to type them in. Drop in vendor bills, your own sales invoices, bank statements or spreadsheets, and SmartLedger works out what each file is, pulls out the details and checks for duplicates. Nothing reaches your books until you review and approve it.

              Before you start

              • SmartUploads is part of the Pro plan. On other plans the page shows an upgrade prompt.
              • Every page you upload counts against your plan's page allowance. The Page Usage card at the top of SmartUploads shows how much you have left.

              Upload your files

              1. Go to SmartUploads → All Documents.

              2. Click + New Upload. You can also click the + next to All Documents in the sidebar.

              3. Choose one or more files. Select several at once to upload them together.

Accepted formats are PDF, CSV, XLS, XLSX, PNG, JPG, JPEG, WEBP, HEIC and HEIF.

A panel in the bottom-right corner shows each file uploading. When a file has gone through, it reads Uploaded, processing. If a file fails, click the retry icon next to it.

You don't need to say what kind of document each file is. SmartLedger decides whether it's a bill you received, an invoice you issued or a bank statement, and shows the result in the Type column.

              Follow the reading

While a file is read, the Status column shows the step it's on, such as Reading pages or Reading details. When it's done:

              • The Type column shows Purchase Invoice, Sales Invoice, Statements or Bulk Import.
              • The Review column shows Pending Review.
              • The row's Review button opens it for you to check and approve.

A spreadsheet of invoices, payments or journal entries shows as Bulk Import. Opening it takes you through an import wizard instead of a single review screen.

If you run out of pages

A set of files that needs more pages than you have left isn't sent for reading. Each file shows Not enough pages with the number it needs, and nothing is charged. Once your plan is upgraded or your pages reset, click Retry all in the upload panel.

              Tips

              • To import bank statements into a particular account, you can also use Import statements in Banking → Statements.
              • If a file shows Failed, click the retry icon in its status, or upload a clearer scan.
              • Use the three-dot menu on a row to Download file or Delete the upload. Deleting can't be undone, but anything the upload already posted to your books stays there.
