Import your bank statements to bring their transactions into SmartLedger. SmartLedger reads each file, shows you the account and every line it found, and adds nothing to your books until you confirm.
Before you start
Reading a statement uses Smart Upload pages from your plan. The import window tells you roughly how many pages your files will use before you start.
Upload the statement
Go to Banking → Statements and click Import statements.
You can also click the + next to Statements in the sidebar, or the upload icon on an account's row in Bank Accounts to import straight into that account.
Drop the files into the box, or click it to choose them. You can add up to 20 files at a time.
Accepted formats are PDF, CSV, XLS, XLSX, PNG, JPG, JPEG, WEBP, HEIC and HEIF. Password-protected PDFs are fine; you'll be asked for the password.
Click Import (it shows the number of files, for example Import 2 files).
A panel in the bottom-right corner shows each file uploading and being read. You can keep working while it runs. When a file is ready, the panel shows how many lines it holds; click Review.
Review and add it
The review screen shows the original file on the left and what SmartLedger read on the right.
On the Account & summary tab, check the account the statement belongs to.
New means no account in SmartLedger has this number, so adding the statement creates it. Correct anything misread and click Save details. In SmartLedger means the lines will join an account you already have. If that's the wrong account, use Correct the number or Attach to a different account.
Check the summary: the statement period, opening and closing balance, credits and debits, and whether the balances tally.
Open the Lines tab. Use the Issues filter to see lines worth checking, click a line to edit it, use the exclude icon to leave a line out, and click Add a missed line for anything the reader skipped.
If one file holds several accounts, each shows as its own tab. Untick any account you don't want to add.
Click Confirm & add, then Confirm & add again in the dialog.
Only new lines are added; lines already in the account are skipped. The statement shows Adding and then Ready.
Matching doesn't start by itself. When you're ready, click Start reconciliation on the review screen or on the statement's row in Statements. This step needs a plan that includes Bank Reconciliation.
If a file needs attention
- Locked — click Unlock, type the PDF password and click Unlock statement. Tick Remember this password once the statement is added so later statements from that account open by themselves. Or click Skip this file.
- Failed — the file couldn't be read. Click Retry, or upload a clearer copy.
- Duplicate — its lines are already in SmartLedger. Click Review & add to bring in only the new lines, or Discard it.
- To drop a file without adding anything, open it and click Discard.
Tips
- On Statements, the Needs attention filter shows duplicates, unreadable or locked files, missing months and other warnings.
- The three-dot menu on a statement's row has Download file, Rename, Show lines in reconciliation and Delete statement. Deleting shows what it will undo first; invoices and bills are never deleted.
- Statement files uploaded through SmartUploads appear here too, with the type Statements in SmartUploads.
