When you delete a document or a record in SmartLedger, it isn't gone straight away. It moves to Settings → Deleted Items, where it stays until you restore it or delete it permanently.
What you'll find here
The page has two tabs:
- Documents — invoices, bills, credit notes, debit notes, sales orders, purchase orders and journal entries.
- Resources — clients, vendors, projects, categories, inventory items, company assets and cost centres.
On Documents, use the All Documents, Sales, Purchases and Journal Entries chips, the Deleted on date range or the search box to find an item. Each row shows its Document Number, Type, Total Amount, when it was deleted and who deleted it. Click an invoice, bill or journal entry to preview it.
Restore an item
- Go to Settings → Deleted Items and open the right tab.
- Find the item and click Restore on its row.
- Read the confirmation and click Yes, Restore.
The item goes back to where it was, with these exceptions:
- An invoice or bill comes back as Unpaid, with its ledger entries posted again. A draft stays a draft.
- Payments recorded on an invoice or bill are not restored. Record them again to settle it.
- If the invoice's client or the bill's vendor was deleted along with it, they come back too.
- A journal entry comes back as a draft. Post it again to put it back on your books.
Delete an item permanently
- Find the item and click Delete Permanently on its row.
- Read the confirmation and click Yes, Delete Permanently.
This can't be undone. Keep in mind:
- The ledger entries of a deleted invoice, bill or journal entry stay on your books, including the reversal posted when it was deleted. They are just no longer linked to the document.
- Permanently deleting a client also removes everything raised against them: invoices, quotes, orders and credit notes. For a vendor, it removes their bills, orders and debit notes. Restore the party instead if you might need any of that.
Act on several items at once
- Tick the boxes next to the items.
- In the bar that appears, click Restore or Delete Permanently.
- Confirm.
Tips
- Nothing is cleared automatically. Items stay in Deleted Items until you act on them.
- To see who deleted a document and when, check the Deleted By and Deleted on columns, or search the activity log. See Reviewing activity logs.
