You don't have to connect your Zoho Books account to move your data. Export your modules from Zoho Books as spreadsheets, upload them all at once, and SmartLedger recognises each file and imports it. This is the recommended way to bring Zoho Books data across.
Before you start
- Importing from Zoho Books is available on every plan, including Free.
- In Zoho Books, export each module you need as an XLS or XLSX file. Keep the column headings as Zoho exports them, because SmartLedger uses them to tell which module a file holds.
- Open the SmartLedger company you want to import into.
Upload your files
Open Smart Integrations from the sidebar.
Click New Integration and choose Zoho Books. If Zoho Books is already in your list, click its row instead.
Under Select Zoho Import Source, click Upload spreadsheet on Zoho Books XLS.
You can also click Import Data at the top of the page and choose Upload Zoho Books XLS.
In XLS / XLSX Import, click Click to select files and choose your files. You can pick several at once.
Use + Add more files for anything you missed, or × to remove a file.
Click Start Import.
Watch each file move through Reading, Queued and Importing to Completed, then click Done.
What can be imported
SmartLedger can import these Zoho Books exports: chart of accounts, customers, vendors, items, projects, quotes or estimates, invoices, bills, sales orders, purchase orders, journals, customer payments, vendor payments, credit notes, and vendor credits (debit notes in SmartLedger).
You don't need to upload them in any order. SmartLedger imports accounts first, then customers, vendors and items, then projects, then quotes, invoices, bills, orders and journals, then payments, and finally credit notes and vendor credits.
Files it can't use are listed under "files can't be imported" with a reason:
- No importer for this Zoho module yet — for example recurring invoices, expenses or timesheets.
- Not a recognised Zoho Books export — the file doesn't look like a Zoho Books export, often because columns were renamed or removed.
Check the results
- Open the Import Jobs tab and choose XLS Only.
- Filter by status if needed: In Progress, Completed, Partial, Failed or Unsupported.
- In the Error column, click View details to see which rows failed and why.
- Click Retry on a failed file to run it again.
Partial means some rows were imported and others failed.
Tips
- An invoice or bill whose customer or vendor isn't in SmartLedger yet can't be imported. Include the customer and vendor exports in the same upload.
- The Overview tab totals your imports across both the API and spreadsheets.
