Instead of typing each line by hand, pick the item from your inventory. The line fills in from the item, and SmartLedger knows which stock the invoice is selling.

Add an item to a line

              1. On the invoice, click the Description field of a line. It reads Select Inventory until you choose something.
              2. Type part of the item's name and pick it from the list.
              3. Enter the quantity.

              Picking the item fills in:

              • Unit price — the item's Sales Rate.
              • HSN/SAC — the item's code.
              • GST(%) — the item's GST rate. If the client's supplies are exempt, nil-rated or non-GST, the line takes no GST.

You can still change the price, quantity, discount and tax on the line. Changes apply to this invoice only, not to the item.

If the item isn't in your inventory yet, click Add Inventory at the bottom of the list. Fill in the new item and save it. The line then fills in from it.

              What shows under the line

              • Item details — any custom fields you've set to print on invoices appear under the item name, as they will on the PDF. For a batch item, the batch is shown too.
              • Stock warning — if the line asks for more than you have, it shows how much is left in red. You can still save the invoice.
              • Serial units — for a serial-tracked item, the line lists the units it is selling. It starts with the oldest units in stock. To sell particular units, click Select stocks under the line, tick them and click Done.

Batch items need no choosing. SmartLedger takes stock from the batch with the earliest expiry first and skips expired batches.

              Tips

              • Always pick the item from the list. A line with a name that doesn't match an inventory item won't move any stock.
              • If you swap the item on a line, any serial units chosen for the old item are cleared.
              • To start an invoice from an item, open it under Sales → Inventory and click Create Invoice.
              • Stock only moves when the invoice is saved with a status other than Draft.
